Bookkeeper/Accountant

The Ark, Michigan’s renowned nonprofit music venue, seeks a full-time Bookkeeper/Accountant.  This key position performs all bookkeeping and accounting-related functions for an organization with a $2.5M annual operating budget that presents over 300 concerts and programs annually.  As a one-person department, responsibilities include all daily bookkeeping functions and working closely with the Executive Director and Finance Committee to create and monitor the budget, create financial statements and assure timely and accurate financial information.  This position reports to the Executive Director and works closely with The Ark’s staff team.  Full-time with excellent benefits.  Flexible schedule possible.  Salary commensurate with experience.

Specific duties include (but are not limited to):

  • Prepares and processes Accounts Payable, Accounts Receivables and Invoicing; records all financial transactions in the accounting software (Quickbooks)  
  • Maintains General Ledger and Chart of Accounts
  • Monitors bank accounts and performs monthly reconciliation of Balance Sheet accounts; monitors cash flow and FDIC limits
  • Reviews daily show Settlement Sheets for accuracy (artist payment, ticket reconciliation, etc.)
  • Prepares and presents monthly Financial Statements (actuals vs. prior year vs budget) to management and Finance Committee
  • Prepares monthly Payroll, including entering payroll into outside provider’s software and reconciliation; verifies payroll tax filings by outside provider monthly, quarterly and annually; sets up and maintains employee payroll records/files and personnel file
  • Manages annual Budget preparation, including preparing budget templates and reports for staff and management; monitors monthly budget
  • Serves as internal point person for annual Audit; prepares majority of annual lead and 990 schedules for outside auditor
  • Prepares and files Government, State and DataArts reports, including MISC 1099s and 1042-S; tracks and completes Licensure applications and reports
  • Coordinates all agency and staff Insurance with management and insurance providers

 

Required Qualifications

  • Accounting degree or equivalent combination of education and experience
  • Minimum 3-5 years bookkeeping and accounting experience, including experience with payroll and taxes
  • Expertise in business applications of Quickbooks and Excel in a PC environment
  • Ability and willingness to serve as a one-person department, performing all bookkeeping and accounting-related functions
  • Experience working with an independent auditor
  • Demonstrated ability to set up systems and spreadsheets as required
  • Demonstrated ability to work independently while keeping the Executive Director appraised of current financial information
  • Demonstrated ability to present accurate financial information and reports in a timely manner
  • Accuracy and attention to detail
  • Flexibility and ability to interact effectively with a variety of people

 

Preferred Qualifications

  • Experience working in a nonprofit setting strongly preferred
  • Ability to analyze financial data, create future projections and anticipate/evaluate financial changes strongly preferred
  • Experience working with a Finance Committee
  • Experience analyzing existing financial systems and implementing new systems to improve efficiencies and reporting
